Why This Matters
Meta Business Suite is where your Instagram and Facebook presence is managed. Once connected, Babu can track follower growth, engagement, review responses, and ad performance — feeding data into your Friday Briefs and weekly content plans.
Important: This is a TWO-part setup. Part A (this document) gets the Business Suite account ready. Part B requires you to grant Babu access — a Facebook Login step that only you can do with your phone. This document walks through everything.
Prerequisites
- Your Facebook personal account (the one you use for Kwality Ice Cream)
- Your Instagram account's username + password
- Your phone (for 2FA / approval prompts)
Part A: Set Up Meta Business Suite (Desktop)
Step 1: Go to
business.facebook.com and log in with your Facebook account (
[email protected]).
Step 2: Click
"Create Business Account" (or "Set Up" if prompted).
Step 3: In the left sidebar, go to
Settings → Business Assets → Pages.
- Click "Add" → "Claim a Page"
- Search for "Kwality Ice Cream" and claim it
- If you don't have a Facebook Page yet: create one first (name, category "Ice Cream Shop", address)
Step 4: In
Accounts → Instagram Accounts:
- Click "Add" → "Claim an Instagram Account"
- Log in with your Instagram username + password
- This links Instagram to the Business Suite
Tip: Once the Instagram account is connected, you'll see Instagram messages, comments, and insights inside Business Suite alongside Facebook data.
Part B: Create a System User for Automated Access
Babu needs a "System User" — a special non-human account that has API access to pull insights, messages, and manage content.
Step 5: In
Business Settings → Users → System Users:
- Click "Add" → name: "Babu (Marketing Assistant)"
- Role: Admin (needs full access to pull insights)
Step 6: In the same System Users page, click
"Add Assets" next to "Babu":
- Add your Facebook Page (Kwality Ice Cream)
- Add your Instagram Account
- Permissions: Manage Page, Read Insights, Read Messages
Step 7 (Phone needed): Click
"Generate Token":
- Select the assets (Page + Instagram) and permissions
- Click "Generate Token"
- You'll be asked to log in on your phone / approve via Facebook app
- Copy the generated token and send it to Babu
⚠️ Important about Token Expiry: The generated token expires in 60-90 days.
Babu will remind you before expiry to generate a new one. Set a reminder on your phone for 60 days from today.
Once Babu Has the Token
After you send the token, Babu will:
- ✅ Connect to Meta's Graph API
- ✅ Pull daily follower counts, reach, engagement
- ✅ Monitor Instagram comments and Facebook reviews
- ✅ Track ad performance if you run ads
- ✅ Include metrics in the Friday Brief

Checklist — Mark Off As You Go
- Created Facebook Business account at business.facebook.com
- Added / claimed Facebook Page "Kwality Ice Cream"
- Connected Instagram account to Business Suite
- Created System User named "Babu (Marketing Assistant)"
- Assigned Page + Instagram assets to the System User
- Generated and copied the access token
- Sent the token to Babu
- Set a phone reminder for 60 days to refresh token
Troubleshooting
"I don't have a Facebook Page"
Go to facebook.com/pages/create → "Business or Brand" → Name: "Kwality Ice Cream" → Category: "Ice Cream Shop" → Fill in address (6601 Dublin Blvd C, Dublin, CA) → Add profile photo (your logo) → Publish. Then restart from Step 3.
"Can't claim the Instagram account"
Make sure your Instagram account is set to Business Account (not Personal). On Instagram: Settings → Account → Switch to Professional → Business. Then retry Step 4.
"Token generation fails on phone"
Make sure you're logged into the Facebook app on your phone as the same user (
[email protected]). Use a browser on your phone if the app doesn't cooperate.
